VPS Webinars: registration, information and etiquette

Webinar registration procedure

• To sign up for a scheduled webinar, follow the initial sign up link (sent out via email, VPS Twitter, Facebook and Yahoo groups and on the VPS website). At this stage, we suggest that you read the section below entitled Webinar information & etiquette.

• Please check your junk spam folder for any future emails from This email address is being protected from spambots. You need JavaScript enabled to view it. and mark it as ‘not spam’ or add it to your contact list in order to avoid any emails going straight to junk mail.

• One day prior to the webinar you will receive a registration and ‘sign-in’ link and instructions on how to join the webinar. If for any reason you do not have access to a computer or the internet for the webinar, you can access the audio feed via a toll free phone number (available once you have registered). If you need to phone in from outside the UK, please contact us for details and let us know which country you’ll be calling from.

• Use this ‘sign-in’ link to join the webinar 15 minutes before the official start time, to receive a practical tutorial on how to get the best from GoToWebinar software.



Webinar information & etiquette

• The webinar format will be informal, much like live radio, but with the added bonus of being able to view presentation slides whilst the expert speaker discusses the topic (there is no video option).

• The name you signed up to the webinar with, along with the names of other participants, will be visible on screen as an attendee list throughout the session. However, please be assured that your contact details will be kept confidential at all times. You can exit the webinar at any time.

• Please join the webinar 15 minutes before the official start time for a practical tutorial on how to get the best from the GoToWebinar software. (This means that we will begin at 6.45 pm for a 7 pm start.)

• When you join the webinar you will be ‘muted’ by the producer throughout, so you will be able to hear the webinar but no-one can hear you. If you wish to participate in the Q & A session, you can either use the messaging facility (and type in your question) or ‘raise your hand’ using the ‘hand’ icon on your webinar admin panel to indicate that you wish to ask a question. You can do this during or after the speaker’s presentation. The producer/host will then turn on your audio facility when you are chosen to speak or read out your question if you have used the messaging facility. We will do our best to put as many of your questions as possible to the speaker, but cannot guarantee that we will get to everyone, as we will need to finish the webinar session on time.

• If you intend to ask a question using audio rather than messaging, we recommend you use a headset, to minimise the likelihood of sound from your computer’s speakers causing echo and feedback, which can affect the audio quality for other participants. Also, please keep background noise to a minimum whilst you are speaking and avoid swearing or breaching confidentiality. We ask that anything discussed in the webinar that is of a sensitive or personal nature be kept confidential by all those taking part.

• As far as possible, please make sure your questions are relevant to the webinar topic and be aware that the speaker will NOT be able to offer specific medical advice on personal cases.
